Branded staff hoodies for winter: an ordering guide for businesses

By the Papaya Creative Studio team

Ordering branded staff hoodies for winter is simple if you sort three things first: total piece count, your logo file, and everyone's size. At Papaya, custom hoodies are $40 each at 5 pieces and drop to $28 each at 100+, with a 5-piece minimum per order.

Outdoor crews, front-of-house staff by a cold door and people working winter trade shows all need a warm layer that still says who they work for. Here's how to get a staff order right the first time.

How much do branded staff hoodies cost?

Each hoodie price includes the garment and one DTF-printed logo on the left or right chest. The tier is set by the total number of pieces in the whole order.

  • 5+ pieces: $40 each
  • 10+ pieces: $36 each
  • 25+ pieces: $33 each
  • 50+ pieces: $30 each
  • 100+ pieces: $28 each

A big logo on the back adds $12 per piece. Prices are in CAD plus HST, and the final total depends on what's in your order.

How does the piece count work for a business?

The 5-piece minimum is per order, not per size or colour. You can mix sizes, colours and garments, and every piece counts toward the same tier.

That matters for staff orders. A worked example: say a business needs 21 hoodies with a chest logo and a big back logo. At the 10+ tier that's $36 + $12 = $48 each, or $1,008 before HST.

Now say four managers or drivers add trucker hats. The order becomes 25 pieces, so hoodies drop to $33 + $12 = $45 each ($945) and hats are $19.50 each ($78). The total is $1,023: four hats for $15 more than the hoodies alone.

Run that math before you place the order. It often pays to add a few spares for new hires.

Uniform or merch: which are you ordering?

Decide this first, because it changes the order.

  • Uniform hoodies are worn on the job. Pick one colour, one placement and a back logo if customers need to spot your staff from a distance, like crews on a site or at an event.
  • Merch hoodies are a perk or a gift. Staff wear them on their own time, so a chest logo alone and a choice of colours often goes over better.

What colours and sizes are available?

Hoodies, tees and long sleeves come in white, black, grey or blue. Trucker hats come in black or navy.

Sizes run S to XXL. Check that range against your staff list before you confirm the order, not after.

What should the logo file look like?

Send the cleanest version of the logo you have. The original file from whoever designed your brand is better than a screenshot from your website or social media.

DTF prints in full colour, so a logo with several colours costs the same as a one-colour logo. Before anything prints, you approve a digital proof showing the logo on the garment.

How do you collect staff sizes without chaos?

This is where most staff orders stall. A few things help:

  • One person owns the order. Usually an office manager or owner. Everyone sends sizes to them, not to the printer.
  • Use one simple sheet. Name, garment, colour, size, and whether it's a uniform or merch piece.
  • Set a cut-off date. Additions after the order is placed become a separate order, and a separate order needs its own 5-piece minimum.
  • Decide who pays. Settle whether hoodies are company-issued or staff-purchased before you collect sizes.
  • Order a spare or two. Winter is when seasonal hires start.

Chest logo, back logo, or both?

A chest logo on its own is the cleanest and most affordable option. It goes on the left or right chest.

A big back logo makes the hoodie read as your company from across a parking lot or job site. It adds $12 per piece and is available on garments only.

Trucker hats take one logo, on the face of the hat.

What else goes well with staff hoodies?

Other pieces can join the same order:

  • Tees for under the hoodie or for summer, from $20 each at 5+ down to $13 at 100+
  • Long sleeves as a lighter layer indoors, from $25 down to $17
  • Trucker hats for drivers, crews and managers, from $25 down to $16

Because the tier is based on total pieces, adding these to the hoodie order can lower the per-piece price of everything. If you're weighing print methods, our DTF vs screen printing vs embroidery guide compares them plainly.
