Quotes, invoices and HST in one place (a look inside Papaya Admin)

By the Papaya Creative Studio team

Papaya Admin keeps quotes, invoices and HST in the same system as your customers and job costs, so a job moves from enquiry to paid invoice without being retyped anywhere. If you are looking for quote and invoice software that handles HST in Ontario, the useful question isn't only "does it add 13%?" but "does it connect the invoice to what the job actually cost?"

This post walks through how that works inside Papaya Admin, the CRM and admin system we build for small businesses.

Why do quotes and invoices end up in different places?

In most small businesses, they grow up separately. Quotes get written in a Word template or an email. Invoices come out of accounting software, or a different template. Supplier bills sit in a folder or an inbox.

Each piece works. The trouble is that nothing connects them. To find out whether a job made money, someone has to pull the quote, the invoice and the supplier bills together by hand, and usually nobody does.

What happens to a job inside Papaya Admin?

Every customer and enquiry lands in one list, and each enquiry moves across a workflow board:

  • Lead — the enquiry has come in.
  • Responded — you have replied or sent a quote.
  • Retained — the customer has said yes.
  • Paid — the invoice is settled.
  • Completed — the work is done and closed out.

Quotes and invoices are issued in CAD with HST, against the same customer record. Jobs and projects carry their vendor costs, which is what makes job costing possible. And underneath it all sits a lean double-entry ledger, so the numbers add up the way an accountant expects them to.

How HST shows up on a quote

HST in Ontario is 13%. Here is a worked example with made-up figures.

Say you quote a renovation job at $8,500 before tax.

  • Subtotal: $8,500.00
  • HST at 13%: $1,105.00
  • Total quoted: $9,605.00

When the customer pays, $9,605 lands in your bank account. But $1,105 of that isn't yours. It is HST you have collected on behalf of the government, and it goes to the Canada Revenue Agency when you file.

That is why the ledger tracks HST separately from revenue. Your sales figure for this job is $8,500, not $9,605. Treating the full deposit as income is one of the most common ways small businesses end up surprised at filing time.

How job costing fits in

Now say the same job used $5,200 in materials and subcontractor costs, recorded against it as vendor costs.

Line Amount
Revenue (before HST) $8,500
Vendor costs $5,200
Gross profit $3,300
Gross margin 38.8%

Because the quote, the invoice and the costs are on the same job, that table isn't a separate spreadsheet exercise. It is just what the job looks like.

The single most useful habit from job costing and WIP schedules is this: look at margin job by job, not just in total. A year can look fine overall while one type of work quietly loses money. We wrote more about that in job costing for small businesses.

What about the HST you pay to suppliers?

Most registered businesses can claim back the HST they pay on business expenses through input tax credits. The CRA's GST/HST pages for businesses explain how that works and who qualifies.

The practical point for your records: keep the HST on supplier bills separate from the cost itself. Your accountant will need both figures, and job costing should use the cost before tax.

Does it look like your business?

Papaya Admin supports client branding, so quotes and invoices go out with your logo and colours, not ours. Staff get their own logins, there is an audit log of who changed what, and the system runs on your own Cloudflare account, so the data belongs to you.

It is backed up nightly and includes login lockout and other security hardening. Those details matter more for an invoicing system than for most software, because it holds customer details and financial records.

Is this a replacement for accounting software?

Not necessarily. The ledger in Papaya Admin is deliberately lean. It keeps your quotes, invoices, HST and job costs straight in day-to-day work. Many businesses will still have an accountant prepare year-end statements and tax filings.

What it removes is the retyping and the guesswork between "we quoted it" and "did it make money?"

Common questions

How much HST do I charge on a quote in Ontario?

HST in Ontario is 13%, added to the pre-tax price. On an $8,500 quote, that is $1,105 in HST, for a total of $9,605.

Is the HST I collect counted as revenue?

No. HST collected is held on behalf of the government and remitted to the Canada Revenue Agency, so your revenue is the amount before tax. Tracking it separately prevents surprises at filing time.

Can Papaya Admin show whether a job made money?

Yes. Jobs carry their vendor costs alongside the quote and invoice, so gross profit and margin for each job can be read directly instead of rebuilt in a spreadsheet.
